Reminders

Reminders is the button in the bottom-left corner of every screen, beside Chat. It opens on whatever page you happen to be on.

The panel holds two quite different things, one per tab. Remind Me is a note to yourself with a date on it. Remind Client is EyeOnTask emailing your clients on its own, on the days you decide.

The table lists what is coming, with Upcoming narrowing it and the search box finding one by its title or description.

Created From is the column worth knowing. A reminder does not have to be typed here — one raised against a job, a quote or a contract carries that record’s name, so the list mixes the reminders you wrote by hand with the ones that came off actual work. Visible To says who else can see it.

Add General Reminder opens a short form. Title and Date & Time are required; Description and Visible To are not.

Visible To is the one that changes what a reminder is for. Left empty it is yours alone. Name people in it and it becomes the team’s — which is how a reminder stops being a private note and starts being a handover.

This tab is not a to-do list. It is a set of rules, and once a rule is on, the emails go out without anybody pressing anything.

Seven things can be chased:

The ON badge beside a type is how you tell at a glance which rules are live. A type with no badge is set up but sending nothing.

Pick the type on the left and its settings open beside it. Each type offers two rules, so one thing can be chased twice — a nudge a week before an invoice falls due, and another a week after it has been missed.

Each rule is the same three parts:

  • Before or After — which side of the date the email goes out.
  • Day(s) — how many.
  • Off / On — whether this rule is live. The rule exists whether or not it is on, so a seasonal chase can be switched off rather than deleted.

Beneath the settings, List is prepared by above settings is the rule working out loud — the emails these settings produce, before and after they go. It is the way to check a rule rather than trusting it.

Two tabs and a date range across the top:

  • Upcoming — what is queued to go out.
  • Sent — what already went.
  • Last 15 Days, and the other ranges, sets how far the list looks.

The table is the same either side: the invoice, the Reminder Date the email is due to go or went on, the Important Dates it was worked out from — the record’s start and due date — the Client & Contact it is addressed to, and a Status.

Reminder Date is written the way you would say it. Anything within the week reads Today, Tomorrow or the day’s name; further out it is a date.

Won’t Send is the one to read. A rule can be switched on, correctly configured and still send nothing, because a reminder needs somewhere to go — and the row spells out what is missing under the client’s name, usually Mobile number is missing or that both the email and the mobile number are absent.

That is a client record to fix rather than a reminder setting to change: add the missing contact detail on the client — see sites and contacts — and the next run picks it up.

Failed is a different problem. The address was there and the send did not arrive, so the answer is in the email log report rather than on the client.

This one carries two controls the other six do not.

Which jobs should get reminders? is a list of job statusesDispatched, Accepted, Travelling, In Progress — and only work sitting in one of them is chased. That is what stops a cancelled visit emailing the client to say somebody is coming.

Also send WhatsApp reminder to client sends the same reminder over WhatsApp as well as email, where your account has WhatsApp set up.

Nothing here invents a date. Every rule counts from a date already on a record, which is why the reminder is only as good as what was filled in:

A unit with no service interval is never chased, and an invoice with no due date has nothing to count from.
